If the venue is too close, such as in the same city or near a business, there is a risk that some people will simply decide to go home in the evening. This can change the dynamic of the event and reduce the shared experience.

The location is not just a backdrop - it is part of the program. Some locations offer many opportunities for activities, while others are more like just a beautiful environment.

It is worth considering:

  • Does the area allow for various activities?

  • Can the program take place both indoors and outdoors?

  • Have weather changes been taken into account?

If the venue doesn't support the program, the program will have to be adapted - and that's not always the ideal solution.


Catering: more than just food 🥂🥗

During summer days, catering plays a bigger role than is often thought. Good food and smooth service create an important part of the entire event experience.

Questions worth asking:

  • Will catering be provided on site or does it have to be arranged separately?

  • Can the place serve the entire group at the same time?

  • Is the menu flexible enough to accommodate different preferences and will food and drinks be available until late at night?

Food and drink are not just a practical necessity - they are part of the atmosphere of the event. If the last dancers have to go to bed on an empty stomach or late risers miss out on breakfast, the emotion is spoiled.


Can everyone sleep comfortably? 🛌😴

If summer days last longer than one day, you should also think about staying overnight.

It is important to consider:

  • Will all participants fit in the same place?

  • What is the level of accommodation?

  • Does the accommodation support the atmosphere of the event?

  • How many people will have to share rooms and is this suitable for the participants?

If some people have to stay overnight elsewhere, it can affect the evening program. Or if the accommodation options are of different levels (comfortable rooms vs. camping), it can be disappointing.
